Terms and Conditions

These Terms and Conditions govern online purchases and the use of coworking passes, meeting rooms, common areas, access credentials, and related services offered by Colab. Please read them before placing an order.

1. Scope and acceptance

These Terms apply to customers who purchase or use Colab services. Any service-specific details shown on the website, booking page, or Stripe Checkout summary form part of the contract and prevail over these general provisions if they are more specific.

By accepting these Terms during checkout, the customer confirms that they are at least 18 years old and have the legal capacity and authority to enter into the contract. A person purchasing for an organisation is responsible for having authority to bind it.

2. Services

Colab provides temporary access to shared work areas, meeting rooms, connectivity, and the amenities described for the selected plan or booking. A purchase grants a limited, personal right to use the relevant services; it does not create a lease, tenancy, registered office, or exclusive right over any part of the premises.

Pass duration, included entrances, opening or access times, meeting-room duration, capacity, and included amenities are those displayed before payment. Services are subject to availability and to temporary restrictions required for safety, maintenance, or events.

3. Orders, prices, and payment

Before paying, the customer selects the service and date, reviews its main characteristics and total price, supplies the requested billing details, and accepts these Terms. The contract is concluded when payment succeeds and the customer receives confirmation.

Prices are in euros and include VAT unless clearly stated otherwise. Payment is processed securely by Stripe using the methods offered at checkout. Any invoice is issued using the information supplied by the customer, who is responsible for its accuracy. Purchases do not renew automatically unless this is expressly shown before payment.

4. Personal access credentials

  • PINs, links, keys, and other access credentials are personal and must not be shared, transferred, copied, or used to admit another person.
  • The customer must keep credentials secure and promptly report loss, disclosure, or suspected misuse.
  • Colab may request reasonable proof of identity and may replace or deactivate credentials for security reasons.
  • Guests are allowed only where the selected service permits them or Colab has authorised them in advance.

5. Rules for using the space

  • Use the premises only for lawful professional, study, meeting, or other authorised activities.
  • Respect other users, staff, neighbours, booked areas, noise levels, capacity limits, opening rules, safety instructions, and emergency procedures.
  • Keep work areas and shared facilities tidy; calls and conversations must not unreasonably disturb others.
  • Smoking, illegal activities, harassment, dangerous materials, weapons, and conduct that creates a safety or security risk are prohibited.
  • Use the internet lawfully and fairly. Do not attempt unauthorised access, interfere with the network, or transmit unlawful or harmful material.
  • The customer is responsible for their guests, property, and any damage caused by them beyond normal wear.

6. Meeting rooms

A meeting-room booking is valid only for the confirmed date, time, duration, and room. Set-up and clean-up must take place within the booked period. Extensions require availability and may incur an additional charge.

The person making the booking must respect the room capacity and ensure that every attendee follows these Terms. Use of common coworking areas outside the booking is not included unless expressly stated.

7. Cancellation and consumer withdrawal

A customer acting as a consumer may withdraw from an online service contract without giving a reason within 14 days from its conclusion, subject to the Italian Consumer Code and its exceptions. An unequivocal statement sent before the deadline is sufficient.

If the selected service starts during the 14-day withdrawal period, by accepting these Terms the consumer expressly requests Colab to begin performance on the chosen start date and acknowledges that the right of withdrawal is lost once the service has been fully performed. If the consumer withdraws after performance has begun but before it is complete, Colab may retain an amount proportionate to the service already supplied.

Where withdrawal is valid, Colab will reimburse the amount due without undue delay and no later than 14 days after being informed, using the original payment method unless otherwise agreed. These statutory rights apply only to consumers; any additional cancellation or rescheduling option is the one displayed for the selected service or separately agreed in writing.

8. Changes, interruptions, and cancellation by Colab

Colab may make reasonable operational changes or temporarily restrict a service for maintenance, safety, security, emergencies, force majeure, or compliance with law. When reasonably possible, affected customers will be notified.

If Colab cannot provide a material part of a paid service, it will offer a reasonable alternative, rescheduling, or a refund for the unavailable portion. Nothing in these Terms limits mandatory remedies available to consumers.

9. Responsibility and belongings

Customers remain responsible for supervising their belongings, equipment, data, and guests. Colab does not guarantee uninterrupted internet or utility availability and is not responsible for loss caused by events outside its reasonable control.

Any limitation of liability applies only to the extent permitted by law. Nothing excludes liability that cannot legally be excluded, including liability for wilful misconduct or gross negligence, or limits mandatory consumer rights.

10. Suspension or termination

Colab may suspend access or terminate a booking for non-payment, material or repeated breach of these Terms, credential sharing, unlawful conduct, or a serious safety or security risk. Where appropriate, Colab will first ask the customer to remedy the breach. Any refund will be determined in accordance with applicable law and the circumstances of the breach.

11. Personal data

Personal data is handled as described in the Colab Privacy Policy. Stripe and, for meeting-room scheduling, Cal.eu process information under their own privacy notices.

12. Complaints, applicable law, and disputes

Questions or complaints can be sent to the email address above. Colab and the customer will try in good faith to resolve them directly.

These Terms are governed by Italian law, without depriving consumers of mandatory protections in their country of residence. For consumers resident in Italy, the mandatory court is the court of their place of residence or domicile. For non-consumer customers, the courts of Lucca have jurisdiction, unless mandatory law provides otherwise.

13. Changes to these Terms

The version accepted at checkout governs that purchase. Colab may update these Terms for future purchases or future use, but changes do not retroactively alter an existing booking unless required by law or expressly agreed with the customer.
